Terms of Service

Welcome to Care Colab. Care Colab is a platform that helps people organize information and collaborate around care situations. These terms explain the basic rules for using the platform.
Care Colab is operated by Care Colab Solutions Ltd., a company incorporated in Canada ("Care Colab", "we", "us"). By creating an account, joining a Lab, or otherwise using Care Colab, you agree to these terms. If you don't agree with them, please don't use the platform.
You need to be at least 18 years old to use Care Colab. If you're using it on behalf of an organization, you're confirming that you have the authority to accept these terms on its behalf.
These terms work alongside our Privacy Policy, which explains how we handle your information. Together, the two form the agreement between you and us.
What Care Colab is
Care Colab is a coordination tool that helps people:
- Organize information related to a care situation
- Share updates, documents, and notes with collaborators
- Keep track of events, tasks, and important details
- Communicate and collaborate in one shared place
Care Colab is an organizational and collaboration tool. It is not a substitute for professional medical advice, diagnosis, or treatment.
Using Care Colab responsibly
When using Care Colab, we ask that you:
- Provide accurate information if you create an account
- Keep your account secure and sign out on shared devices
- Respect the privacy of others and only share information you have permission to share
- Use the platform for organizing and collaborating around care situations, not for unlawful, harmful, fraudulent, or abusive activity
- Be respectful in your interactions with other users
- Let us know if you notice security issues, bugs, or misuse of the platform
And a few things we ask you not to do:
- Try to access accounts, Labs, files, or data that aren't yours
- Reverse engineer, decompile, or attempt to extract the source code of the platform
- Scrape, crawl, or use bots or automated tools to access Care Colab without our permission
- Probe or test the security of the platform without asking us first - if you think you have found a vulnerability, we would genuinely like to hear about it, so please email us instead of testing it in production
- Resell, sublicense, or white-label Care Colab, or share one account among people in order to get around plan limits
- Interfere with, overload, or disrupt the service or the experience of other users
Your account and information
Account security
You are responsible for keeping your account information accurate and secure, including your sign-in methods and access to your email account.
Your content
The information you add to Care Colab, including documents, notes, tasks, events, and messages, belongs to you or the person who has the right to share it. You are responsible for what you upload, post, or share through the platform.
Much of what goes into a Lab is about someone else - a parent, a partner, a person in your care. When you add information about another person, including health-related details such as medications, appointments, or medical notes, you are confirming that you have that person's consent, or the legal authority to act for them, to record that information and share it with the people in that Lab. If you are not confident you have that authority, please don't add the information.
Sharing and collaboration
If you invite others into a Lab or share a Lab using a link and PIN, you are responsible for choosing the right people and permissions. Please treat sharing links, PINs, and calendar subscription URLs as sensitive access credentials.
Closing your account
You can delete your account at any time from Settings. All Labs you own and their contents are permanently removed. In shared Labs where you are a collaborator, your contributions may remain but appear as "Deleted User." This action is permanent and cannot be undone.
Content you upload
Care Colab lets you upload images, documents, PDFs, and other files to your Labs, and attach screenshots to bug reports. To keep the platform safe for everyone, please don't upload or share:
- Sexual or sexually explicit content of any kind. Content that sexualizes minors is reported to the Canadian Centre for Child Protection (cybertip.ca) and law enforcement, as required by Canadian law
- Intimate images of anyone shared without their consent
- Content that promotes violence, self-harm, harassment, hate, or discrimination
- Content that infringes someone else's copyright, trademark, or other intellectual property
- Personal or health information about people who haven't agreed to be part of your Lab
- Malware, phishing attempts, or anything designed to harm or deceive others
- Content that violates Canadian law or other laws that apply to you
When sending a bug report screenshot, please take a moment to review it first so it doesn't include another person's private information.
We may remove content, suspend accounts, or preserve and disclose information to law enforcement when we believe it's necessary to comply with the law or protect people from harm.
If you come across content on Care Colab that violates these rules, please report it to support@carecolab.ca.
Fair use and plan limits
Care Colab offers different plans, and some features are described as "unlimited." Here is what that means and how usage works.
"Unlimited" means fair-use unlimited
Features we describe as unlimited — such as creating Labs on every plan, and custom summary templates on our top plan — are offered subject to reasonable, good-faith use. We set generous thresholds well beyond what a typical person needs, so that in normal use you should never notice them. These thresholds exist to keep the service fast and reliable for everyone and to protect against runaway scripts, automated abuse, or usage that degrades performance for others. If you ever approach one, we won't cut you off at a cold wall — we'll show a friendly message and invite you to reach out so we can find an arrangement that works.
AI summary credits are a monthly allowance
AI summaries are metered by a monthly pool of credits that reflects the real processing cost of each summary, so larger Labs cost a little more than smaller ones. Unlike the unlimited features, credits are an explicit monthly amount — not unlimited — that depends on your plan. Your credits refresh on the 1st of each month (Pacific time), and unused credits do not roll over. You can always see how many you have used and how many remain on the Usage page in the app.
If you reach a limit
Reaching a credit limit or a fair-use threshold only pauses the specific action involved, such as generating new AI summaries — the rest of Care Colab keeps working. From there you can wait for your monthly reset, move to a higher plan, or contact us about a custom arrangement.
Using limits in good faith
Please don't try to circumvent, script around, or artificially inflate usage limits, or share a single account to exceed them. This helps us keep Care Colab fast, affordable, and fair for everyone.
Limits may change during beta
Because Care Colab is still in beta, credit allowances and fair-use thresholds are being finalized and may be adjusted. If we make changes, we will update these terms and the plan details shown in the app.
Plans, billing, and refunds
Plans and prices
Care Colab is free to start. Paid plans and what each one includes are described on our Pricing page, which forms part of these terms. Prices are in Canadian dollars and shown before tax. Applicable sales tax, such as BC PST, is calculated and added at checkout. The Free plan is offered while Care Colab is in beta and may change as the product grows.
How billing works
Payments are processed by Stripe, not by us. Stripe collects your payment details directly and handles them under its own terms and privacy policy. We never see or store your card number. When you subscribe, you are authorizing recurring charges to your chosen payment method.
Renewal
Subscriptions renew automatically at the end of each billing period — monthly or annually, depending on what you chose — at the then-current price, until you cancel. We will always tell you before a price change affects your renewal, with at least 30 days' notice, so you have time to decide whether to continue.
Cancelling
You can cancel at any time from your account settings. Cancelling stops the next renewal; it doesn't end the period you have already paid for. You keep your paid features until the end of that period, then move back to the Free plan. Cancelling never deletes your content — your Labs and files stay where they are, and your plan's storage limit applies to what you add next.
Refunds
Payments for a billing period that has already started are generally non-refundable, and we don't pro-rate partial months. That said, we would rather be fair than technically correct. If you were billed in error, charged after cancelling, or something went wrong on our end, email us and we will put it right. We may also offer a refund or credit in other circumstances at our discretion. Nothing here affects refund rights you may have under consumer protection law.
If a payment fails
If a renewal payment fails, we may retry it and may pause paid features until it goes through. We won't delete your content because of a failed payment — your account simply returns to the Free plan's limits until billing is sorted out.
Important things to know
Beta product
Care Colab is actively being developed and improved. While we work hard to make it reliable, some features may change, and things may occasionally not work as expected.
Not medical advice
Care Colab helps you organize and share information. It does not provide medical advice, diagnosis, or treatment, and it should not be relied on as a substitute for professional care. Always consult a qualified healthcare professional, and never delay seeking advice because of something you read or organized in Care Colab.
AI features
Care Colab offers AI features such as summaries and image text extraction when you choose to use them. These features use Google's Gemini service to process the relevant content needed to generate the output.
AI output can be incomplete or wrong. Summaries are a convenience for organizing what you have already recorded, not a source of truth — please check anything important against the original document or note.

Calendar subscriptions
If you use the iCal subscribe feature, your subscription URL acts as a credential. Anyone with the link may be able to read your calendar data, so you are responsible for keeping it private. You can revoke it at any time from Calendar settings.
Keeping your own copies
We back up our systems and take reliability seriously, but no service is immune to data loss. For anything you truly cannot afford to lose — legal documents, records you may need later — please keep your own copy somewhere else as well.
No guarantees
We work hard to keep Care Colab available and reliable, but the platform is provided on an as-is and as-available basis, especially during beta. We cannot guarantee uninterrupted service, complete accuracy, or that the platform will always be free from errors.
To the fullest extent the law allows, we disclaim all warranties that are not expressly stated in these terms, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Some consumer protections cannot be waived — if you are a consumer in British Columbia or somewhere with similar laws, those rights still apply to you regardless of this paragraph.
Suspension or termination
We may suspend or limit access to Care Colab if we believe someone is using the platform in a way that is unlawful, abusive, harmful to others, or harmful to the security or operation of the service. When appropriate, we will try to provide notice.
If your account ends, for any reason, the parts of these terms that are meant to outlast it continue to apply — including ownership, the disclaimers, the limitation of liability, indemnification, and how disputes are resolved.
Ownership and rights
You retain ownership of the content you add to Care Colab. By using the platform, you give us permission to host, process, display, and back up that content only as needed to operate, secure, and support the service for you. We do not use your content to train AI models — see our Privacy Policy for the details. This permission ends when you delete the content or your account.
If you send us feedback, feature ideas, or bug reports, thank you — we may use them to improve Care Colab without any obligation to you.
Care Colab, including its software, design, branding, and related materials, is owned by Care Colab Solutions Ltd. and protected by applicable intellectual property laws.
Limitation of liability
Every agreement needs a section like this. Here is ours, in plain terms: Care Colab is a small product offered at low or no cost, and this section keeps our exposure in proportion to that.
First, the part that is not limited. Nothing in these terms excludes or limits liability that cannot be excluded or limited by law — including liability for fraud or fraudulent misrepresentation, for death or personal injury caused by negligence, or any rights you have as a consumer under British Columbia's Business Practices and Consumer Protection Act or similar legislation where you live. Those apply no matter what the rest of this section says.
Subject to that, and to the fullest extent the law allows:
- We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost business, lost goodwill, or lost or corrupted data
- We are not liable for decisions made in reliance on AI output, or for the accuracy of information you or your collaborators put into a Lab
- Our total liability for all claims relating to Care Colab, taken together, is limited to the greater of the amount you paid us in the twelve months before the claim arose, or CA$100
If your use causes a claim against us
If someone brings a claim against us because of the content you put into Care Colab, because you used the platform in breach of these terms, or because you shared information you didn't have the right to share, you agree to cover the reasonable costs we incur in dealing with it, including legal fees.
This doesn't apply to the extent the claim arises from something we did wrong. We will tell you promptly about any claim we expect you to cover, and we won't settle it without talking to you first.
Resolving disputes
If something goes wrong, please talk to us first. Most problems can be sorted out quickly over email, and we would much rather fix an issue than argue about it. Write to support@carecolab.ca and we will do our best to resolve it within 30 days.
If we can't resolve it that way, any dispute will be handled by the courts of British Columbia, and you and we both agree to their jurisdiction. If you are a consumer, this doesn't take away your right to bring a claim in the courts where you live, or to use any consumer dispute resolution service available to you.
Changes to these terms
As Care Colab evolves, we may update these terms from time to time. If we make significant changes, we will post the updated version here and update the effective date above, and we will let you know by email or in the app before they take effect. By continuing to use Care Colab after changes take effect, you agree to the revised terms.
Governing law
These terms are governed by the laws of British Columbia and the laws of Canada applicable there, unless another law is required to apply.
A few general points
- These terms, together with our Privacy Policy and Pricing page, are the whole agreement between you and us about Care Colab, and replace anything said before
- If any part of these terms turns out to be unenforceable, that part is narrowed or removed and the rest still stands
- If we don't enforce something right away, we haven't given up the right to enforce it later
- We may transfer these terms to another company if Care Colab is sold, merged, or reorganized; you can't transfer your account or these terms to someone else without our agreement
- We aren't responsible for delays or failures caused by things genuinely outside our control, such as network or power outages, provider failures, natural disasters, or government action
